As an HR Specialist, you will support our HR team across various functions. Your responsibilities will be to help with contract management, documentation for relocation, and payroll administration. You will also contribute to the onboarding process for our Estonian, Spanish, Bulgarian, and external provider employees and help oversee employee training programs. In addition, you will work closely with our Talent Acquisition team to support various recruitment activities.

This role is a fixed-term contract for 2 years covering a maternity leave.

What you will do…

• Create, improve, and execute the company's HR policies in specific HRM area(s) in accordance with the company's HR strategy.

• Control budgets in specific HRM area(s).

• Maintain relations with cooperation partners.

• Perform HR administration tasks related to HRIS administration, database management, reporting, vacation calendar and reserve supervision, administration of compensation, paperwork, benefits, safety regulations, and health checks.

• May train employees in organization-specific fields, perform new employee orientation, and facilitate the onboarding process.

• Runs the payroll for the Tallinn branch and collects variable data for payroll run in BG, ES and external providers.

• Support the Talent Acquisition team in various recruitment tasks, including organizing and managing candidate pipelines, and assisting with initial screenings or candidate communication during peak times. Act as a backup during her absence to ensure continuity in recruitment operations.

• Support the development and rollout of job evaluation aligned with business needs

• Support performance review cycles and employee development planning

• Provides HR-related support to mid-management and assists the HR Manager with day-to-day HR activities

• Ensure compliance with labor laws, safety, and health requirements

We'd love to meet someone with...

• Strong expertise in the following areas:

  • HR administration — payroll, contracts, benefits, HRIS updates, reporting, and compliance documentation.

  • Payroll knowledge for Estonia — monthly payroll for EE, taxes, corrections, audits, and deadlines.

  • Estonian labour law — advise employees, interpret regulations, and independently search for answers.

• Previous experience in: new employees onboarding, recruitment and hiring process, evaluation processes, performance review cycles, and budget management.

• Soft skills: communication, trustworthiness and discretion, organizational, open‑minded and agile mindset, proactive problem‑solver, detail-oriented.

• Experience with HRIS, TAS and Accounting software (ideally Hibob, TeamTailor, Deel, and/or Directo). Good in Excel and Adobe.

• Comfort using AI tools — for drafting documents, improving workflows, and searching regulations efficiently.

• Fluent English and Estonian.

The salary range for this role is 2.600 - 3.000€ gross per month, based on your experience and qualifications.
